As Office Manager, you will often be the first point of contact, vital to helping deliver an exceptional client experience, and responsible for our Dubai office’s day-to-day operations.

The Office Manager is a diverse role working closely with the Leadership team and supporting the wider team. Your work will also include coordinating office activities and events, liaising with external suppliers and ensuring the smooth running of the office. You will be a highly organised individual with excellent communication and interpersonal skills, and have a high level of skill in communicating in English, both verbally and written.


Office Management

  • Responsible for managing the front office operations, including greeting guests, answering the phone, and dealing with deliveries;
  • Point of contact for all GSB employees in dealing with matters concerning the Office;
  • Liaising with telecom providers and troubleshooting any problems;
  • The first point of contact for office staff with IT issues;
  • Maintaining security by following procedures, monitoring the logbook, and issuing visitor badges;
  • Managing the Office Assistant, ensuring all areas of the office are clean and tidy at all times;
  • Managing and handling petty cash;
  • Ensuring the kitchen is stocked with fresh fruit, drinks and other consumables weekly;
  • Managing Stationery;
  • Liaising with the printer leaser for the printer servicing and ordering toner when required;
  • Liaising with courier companies for the swift collection of documents;
  • Developing an Office Management Handbook and updating regularly.

People and Culture

  • Providing support to the HR department with the onboarding process of new employees, ensuring the Induction process goes smoothly;
  • Make sure employees have a configured laptop and email account on their first day;
  • Ensuring all new employees have Medical Insurance either provided through Company Health Insurance Policy or by a spouse;
  • Creating new employee files on the Company HRIS system Emirates HR.
  • Working in collaboration with the Director on wellness Initiatives, specifically with their development and implementation;
  • Supporting Ad hoc People and Culture projects/initiatives when required.


  • Organising and coordinating staff and client events, including organising Company Team Building Events quarterly;
  • Providing EA support to CEO and COO when required;
  • Managing all client gifting happening every month, ensuring appropriate gifts are selected and delivered on time;
  • Researching and liaising with charity organisations as part of the Company’s CSR initiative;
  • Booking Dubai hotel accommodation for visiting Corporate Guests.

Experience and skill requirements

  • Preferably 5+ years experience in an office management role preferable;
  • Comfortable liaising with senior executives and HNWI;
  • Strong communication skills;
  • Interpersonal skills;
  • Supervisory skills;
  • IT literacy.

Organisational knowledge

  • GSB business systems and operations (e.g., IT, HR, database reporting);
  • GSB structure and internal stakeholders;
  • GSB history and culture;
  • External partners and providers;
  • General understanding of business and office management/coordination.
